FREQUENTLY ASKED QUESTIONS
Deposit and Payment Terms
An initial, non-refundable deposit of thirty percent (30%) of the estimate charges and a signed
agreement is required to confirm your date and location. Full estimated pre-payment plus 20% contingency is due 14 days before the event.
Guest Accommodations
We are happy to offer a courtesy room block of 10 guests rooms for guests attending your event. Blocks of rooms over 10 rooms per night must be contracted. Check in time is 4:00 PM, and check out time is 12:00 PM
Menu Tasting
The Hotel offers a complimentary Menu Tasting for up to Four (4) Guests approximately 90-120 Days Prior to your Event. Menu Tastings are offered Tuesdays, Wednesdays, Thursdays and Fridays between 1:00 PM and 3:00 PM, based on availability.
Outside Vendors
We recommend using Hotel Recommended Vendors, as they are tried and true vendors who have worked at the property. You may however select your own vendors if you wish. All Vendors must supply their own equipment for setup, staff for setup and tear down as well as a copy of their liability insurance listing Hyatt Regency Newport Beach as additionally insured.
Guarantee
A Final Guarantee is due Seven (7) Business Days prior to the Event by 11:00 AM. Once confirmed, this number may not be reduced. We will be prepared to serve three percent (3%) over the guaranteed number.
Decoration
All Decorations must be approved by the Hotel and must also comply with Newport Beach City and Fire Codes and Policies. All Vendors providing products and services must be licensed and provide proof of liability insurance prior to the event date. The Hotel does not allow for any items to be affixed to the walls, flooring, ceiling or awnings with nails, staples, tape or any other means that may cause damage.
Wedding and Ceremony Coordination
To ensure a flawless event, Hyatt Regency Newport Beach requires our couples to hire the services of a professional Wedding Coordinator. At minimum, Hyatt Regency Newport Beach requires a professional “Day of” Wedding Coordinator to assist during the wedding day and ceremony rehearsal. Please consult your Event Sales Manager for recommendations on Preferred Coordinators.
Welcome Packets and Gift Bags
If you would like to welcome your guests staying at the hotel with a welcome amenity or gift bag, please contract your Event Sales Manager for arrangements. Additional Charges will apply.
Special Effects
Hazers, sparklers, fog machines, confetti, glitter, and rice are not permitted on hotel grounds. Candles, open flames, fire, barbecue, tents, temporary structures and use of gas require a Temporary Permit to Operate from the City of Newport Beach.
Amplification
To ensure compliance with city ordinances, any outdoor entertainment/events requiring amplification must conclude by 9:00p.m. Sunday through Thursday and 10:00 p.m. Friday and Saturday. Approval must be obtained 45 day in advance through the City of Newport Beach.
Outdoor Lighting
The hotel has collaborated with onsite AV partner Encore to offer exclusive lighting packages to complement each outdoor space. As the comfort and safety of your attendees is paramount to a successful outdoor event, the purchase of a “Standard” package is required for all events in the Amphitheater, Golf Course, Indulge Pool and outside the Patio and Pacific room running later than 5:00pm October-May and later than 7:00pm June-September. Collaborative Diagramming
A collaborative program that helps you and your Event Manager design professional, customized room diagrams and seating to create the best room layouts for your event. You can make your own edits to diagrams to ensure that room setups match your vision.
HyRes
Hyatt’s proprietary group reservation process with customized links to allow your guests to book online within the group block. It also gives you the ability to view reports through the Hyatt Planner Portal.
